Organizing Files
Pentos gives you full control over how your files are organized. You can create folders, move items between them, and rename files and folders, all from the Files page.
Browsing
- List or Grid: switch views with the toggle at the top right. Both show folders first, then files from newest to oldest. In List view, click the Name, Type, Size or Created column header to sort by it.
- Pages: files load 24 at a time; use the page controls to see more.
- Refresh: reloads the folder you have open.
- Breadcrumb: shows where you are and takes you back up.
- Search: press Cmd+K (Ctrl+K on Windows), or click the search icon in the top bar of Pentos, to search your files along with your chats, conversations and channels. Search reads what your files contain, so you can find a document by what it says. Click a file in the results to open it.
Creating Folders
- Open the folder where you want the new one.
- Click the new folder button next to Folders in the left sidebar, or right-click an empty part of the file list and choose New Folder.
- Enter a name and an optional short description.
- Choose Private or Public.
- Click Create Folder.
You can create folders inside folders to build any structure you like. See Private & Public for the difference between the two libraries.
Folders Pentos Creates
Pentos creates some folders for you and keeps them in place:
- Home: the top of each library.
- Chats, Channels, Conversations and Projects: shown in the left sidebar. Files attached in chats and Collab, and files the AI creates in a chat, are kept in a folder for each chat, channel or conversation inside these.
- Documents, Spreadsheets, Slideshows and Creations: shown inside Home. New documents go to Documents and images you create with AI go to Creations, unless you are inside another folder. These folders cannot be renamed, moved or deleted.
- Google Drive, OneDrive, Box and Dropbox: created inside Home the first time you import from that service. You can delete them, but not rename or move them.
Folders that Pentos creates cannot be renamed or moved, and only the Google Drive, OneDrive, Box and Dropbox folders can be deleted.
Renaming
Choose Rename from the three-dot menu, or edit the name in the Info sidebar. You can rename your own files and folders, and files shared with you as an Editor or Admin. Downloads always use the current name.
Moving Files and Folders
- Right-click the file or folder, or click its three-dot menu, and choose Move.
- Find the destination folder.
- Click Move Here.
You can also drag files and folders onto another folder, or onto Home in the left sidebar. To move several items at once, select them and click Move in the bar that appears.
Only the owner of a file or folder can move it, and only into their own folders. A folder cannot be moved into itself or into one of its own subfolders. Folder sizes and file counts update automatically.
Selecting Several Items
Select items to act on them together. The bar at the top of the list offers Delete (with the option to archive instead), Move and Cancel. Delete and Move appear only when you own everything you selected.
Tips
- Group related files into folders by project, client or topic.
- Create folders before uploading, then drop files straight into them.
- Drag a whole folder from your computer to upload it with its structure.
