Download, Archive & Delete
Downloading
You can download any chat you have access to as a file, for backup, sharing, or migration.
How to Download a Chat
- Hover over the chat in the left sidebar and click the three-dot menu.
- Select Download.
- Choose your format: JSON, TXT, or PDF.
- Optionally edit the filename.
- Click Download.
The window closes and a notification shows the download in progress, then confirms it once the file is saved to your device, or says what went wrong.
Export Formats
| Format | What It Includes | Best For |
|---|---|---|
| JSON | Everything the chat shows for each message: the original and edited text, timestamps, who wrote and who edited it, its attachments, its comments and their reactions, the model and who runs it, its settings and usage (points, tokens, energy, CO₂ and water), the Smart Router’s details, the AI’s plan, the tools and connectors it used and the tool calls you approved, its sources and references, and the AI’s reasoning. It also lists the chat’s tags and linked items, and the usage and tool activity of deleted AI replies to your messages | Backup, migration, data analysis |
| TXT | A readable transcript: each message with its author or model and the time in UTC, regenerated replies and threads in place, attached files, comments, and the sources each reply used | Sharing, reading offline |
| The TXT transcript, laid out like the chat: formatted text, highlighted code, tables, math and any language, with each AI model’s logo and page numbers. Files and images are named rather than embedded | Reading, printing, sharing |
Edited messages show their edited version with an “(edited)” label, and TXT and PDF name the member who made the edit when it wasn’t the author; JSON keeps both the original and the edited text. Deleted messages are left out, just as they are in the chat, but JSON still lists what Pentos keeps from deleted AI replies to your messages: their usage, which counts toward the chat’s totals, and their tool and connector activity. JSON includes the AI’s reasoning, while tool and connector details, tool approvals, the code the AI ran and that code’s output appear only on your own messages and the AI’s replies to them. Comments appear in JSON, TXT and PDF as the chat shows them, whoever wrote them, and deleted ones are left out. TXT and PDF leave reasoning out.
Bulk Downloads
To download several chats at once:
- Hover over a chat in the left sidebar and click the three-dot menu.
- Click Select, then select the chats you want.
- Click Download in the bar at the top of the chat list and choose JSON or TXT.
Bulk downloads are packaged as a ZIP archive with one file per chat. A PDF covers one chat, so download chats one at a time to get each as a PDF.
Archiving
Archiving removes a chat from your sidebar without deleting it. This is useful for conversations you are done with but might want to revisit.
How to archive: Hover over the chat in the left sidebar, click the three-dot menu, and select Delete. In the confirmation window, select Archive. The chat moves to your archive and disappears from the sidebar.
Archived chats are in Settings > Data > Archive, where you can restore or delete them. After 30 days in the archive, a chat moves to the Recycle Bin automatically, so restore it before then if you want to keep it in your sidebar.
Only the chat’s owner can archive it. If the chat is shared, everyone in it is notified.
Deleting
When you delete a chat, it moves to the Recycle Bin, where you can restore it for up to 30 days. After 30 days, the chat and its attached files are permanently deleted from our servers.
Hover over the chat in the left sidebar, click the three-dot menu, and select Delete. The chat moves to the Recycle Bin and disappears from the sidebar. You can also delete chats from the Archive.
Only the chat’s owner can delete it. If someone shared a chat with you, you can Leave it instead, which removes your access.
Deleting a single message removes it permanently, along with any replies in its thread. It doesn’t go to the Recycle Bin. Its usage and tool activity are kept as a record: the usage stays in your usage history, and a JSON download of the chat still lists both.
Permanent Deletion
To permanently delete a chat before the 30 days are up:
- Go to Settings > Data > Recycle Bin.
- Find the chat you want to permanently delete.
- Delete it and confirm.
Note: Permanently deleted chats cannot be recovered. If the chat was shared, everyone in it is notified that it was deleted.
Restoring
You can recover chats from the Archive and the Recycle Bin, both in Settings > Data.
- Go to Settings > Data and open Archive or Recycle Bin.
- Open the Chats tab.
- Find the chat and click Restore.
The chat returns to your sidebar. Only the chat’s owner can restore it, and people it was shared with are notified.
Data Retention Summary
| Stage | Duration | Can You Restore? |
|---|---|---|
| Active | Unlimited | N/A |
| Archived | 30 days, then moved to the Recycle Bin | Yes |
| Recycle Bin | 30 days, then permanently deleted | Yes |
| Permanently Deleted | N/A | No |
The longest an inactive chat is kept is 60 days (30 in the archive, then 30 in the Recycle Bin). Restore chats before these deadlines to keep them.
