Download, Archive & Delete

Downloading

You can download any file you own or that has been shared with you, whatever your role.

How to Download

  1. Right-click the file, or click its three-dot menu.
  2. Click Download.

A notification shows the download in progress and confirms it when the file is saved to your device. Downloads always use the file’s current name.

Versions

If a file has saved versions, Download lets you choose which one: Current (the latest saved content), any earlier version, or, for Word and Excel files you have edited, the Original file as uploaded.

Codebases

A codebase folder (one imported from a .zip) can be downloaded as a .zip with Download in its Info sidebar. Other folders, and several selected files, can’t be downloaded in one go.

Downloads of Shared Files

When someone downloads a file you shared with them, you get a notification.

Archiving

Archiving puts a file or folder out of the way without deleting it.

How to archive: right-click the item or click its three-dot menu, choose Delete, then click Archive in the confirmation window. To archive several items, select them and click Delete in the selection bar. Archived items disappear from Files right away, and archiving a folder archives everything in it.

Archived items move to the Recycle Bin after 30 days. Restore anything you want to keep before then.

Find archived items in Settings > Data > Archive, on the Files tab. From there you can restore or delete them.

If the item is shared, the people it is shared with are notified and lose access while it is archived. A link they already opened can keep working for up to 30 minutes. Only the Owner can archive.

Deleting

Deleting moves a file or folder to the Recycle Bin, where you can restore it for 30 days. After that it is permanently deleted from our servers.

How to delete: right-click the item or click its three-dot menu, choose Delete, then click Delete in the confirmation window. Deleting a folder also deletes everything inside it. Only the Owner can delete, and recipients of a shared item are notified and lose access. A link they already opened can keep working for up to 30 minutes.

Permanent Deletion

To delete something for good before the 30 days are up:

  1. Go to Settings > Data > Recycle Bin and open the Files tab.
  2. Find the file or folder and click Delete.
  3. Confirm. To delete several items at once, select them and click Delete in the selection bar.

Permanently deleting a file also deletes all of its saved versions. Permanently deleted items cannot be recovered.

Public Files

A public file’s link keeps working while the file is archived or in the Recycle Bin. It stops working only when the file is permanently deleted, so to take a public file offline right away, delete it permanently. A browser that already opened the file may show a saved copy for up to an hour.

Restoring

Only the Owner can restore. Restored items go back to where they were, and people they were shared with get access again.

If a file or folder is inside a folder that is still archived or in the Recycle Bin, Pentos asks what to restore:

  • Restore “{name}”: restores just that item, into your Home folder.
  • Restore With Folder: restores the folder it was in and everything inside it, so the item goes back to its original place.

When you restore several items at once, Pentos asks once for all of them. An item whose folder you also selected goes back into that folder.

From the Archive

  1. Go to Settings > Data > Archive, on the Files tab.
  2. Find the file or folder and click Restore.

From the Recycle Bin

  1. Go to Settings > Data > Recycle Bin, on the Files tab.
  2. Find the file or folder and click Restore.

Restoring a folder restores everything inside it.

Storage

Archived files and files in the Recycle Bin still count toward your storage until they are permanently deleted. See Uploading Files.
