Editing Docs

Documents in Files open in the same editor Pentos uses for chat messages, with the same formatting tools, real-time collaboration, inline comments and AI tools. This page covers what is specific to files: creating documents, saving, and versions. For the editor itself, see Editing Messages.

What Opens in the Editor

  • Pentos documents: documents you create with New > Document.
  • Markdown and text files: .md and .txt files.
  • Word files: the text of a .docx file. Your edits are saved alongside the original, which is kept unchanged.

Click the file in Files to open it. If you can’t edit it, for example as a Viewer, it opens read-only.

Creating a Document

  1. Click New > Document in the left sidebar.
  2. A new “Untitled Document” opens in the editor right away.
  3. Click the title to rename it, and start writing.

The document is saved in the folder you have open, or in Documents when you are in Home or in another folder Pentos created. In Shared, it is saved to your own files after you confirm.

Saving

Click Save and choose:

  • Overwrite: replace the file’s contents with your changes.
  • Save as new version: keep the current contents as a version you can go back to, then save your changes.

Pressing Cmd+S or Ctrl+S overwrites. Unsaved changes shows at the top while you have unsaved edits, and Pentos asks before closing if anything is unsaved. The first time you save a file, Pentos keeps the original as a version automatically, so you can always get back to what you uploaded.

Versions

Open the Versions tab to see earlier versions of the document.

  • Click a version to read it. Older versions are read-only.
  • Click Restore this version to make it the current one. What it replaces is saved as a version first, so nothing is lost.
  • In a shared document, restoring replaces the content for everyone editing it, and Pentos asks you to confirm.

Versions count toward the file owner’s storage. When a document has versions, Download lets you choose the current version or an earlier one.

Collaboration and Comments

Private documents open in a live session: anyone with edit access can work on the document with you at the same time, with live cursors and conflict-free merging. Editors and above can leave inline comments, reply in threads, react, and @mention people, who are notified. See Real-Time Collaboration and Comments.

AI Tools

The AI Sidebar and AI Assist work in documents just as they do in messages, with the Refine, Expand, Shorten, Fix Grammar and Translate quick actions and your own prompts. See AI Sidebar and AI Assist. For everything else the AI can do with your files, see Using Files With AI.

Permissions

In shared documents, what you can do depends on your role:

  • Viewer: read the document and its comments.
  • Editor: edit, rename, comment, save versions and restore them.
  • Admin: everything an Editor can do, plus manage who has access.
  • Owner: everything, including moving, archiving and deleting the document.

Limits

  • Size: the editor saves documents up to 2 MB.
  • Formats: documents are saved in the format they were opened in; a Word file’s original .docx is never overwritten.
